QuickBooks Online Search Tips

Here are some tips on using the search function in QuickBooks Online (QBO) to make your life easier and save time. In case you have never used it, the search bar is located in the upper right corner of QBO Online with a Magnifying Glass, and is next to the Plus icon and the Gear Icon.
- If you want to locate a specific transaction and only know the amount, click on the magnifying glass. Recent transactions will pop up with the last option being “Advanced Search.” In most cases you will want to select this so that you can narrow your search parameters to locate the transaction you are looking for. Parameters include the type of transaction you are looking for as well as fields within the transactions.
- If you want to locate a customer, simply start typing their name in the search bar and QBO will return customer accounts containing that name. If you want to search vendors you will need to use the advanced search function, such as transaction type – checks, and the field – payee.
- If you want to quickly run a report, just type an “r” in the search bar, click on the magnifying glass and QBO will pop up a list of your customized reports and standard reports as well. You will then be able to select which report you want to run.
- To start an advanced search without using the drop down menu, simply type advanced into the search bar and hit enter or click on the magnifying glass. The advanced search menu will then pop up.
